Credit card statement PDF to Excel: what to check
Credit card statements look like bank statements but follow different conventions. Getting them into Excel works the same way; checking them needs a few extra steps.
Purchases are usually shown as positive
On a bank statement, money out is negative. Many card statements print purchases as positive amounts and payments or refunds as negative, or mark them with CR. Decide which convention your spreadsheet uses and apply it to every row.
| Date | Description | Amount (card) | Amount (your books) |
|---|---|---|---|
| 03 Oct 2026 | Online bookshop | 24.90 | -24.90 |
| 10 Oct 2026 | Payment received, thank you | -500.00 | 500.00 |
Transaction date versus posting date
Card statements often list two dates. Use the same one consistently, usually the transaction date, and keep the other in a separate column if you need it for reconciliation.
Check the statement balance
Previous balance plus purchases minus payments and credits should equal the new balance printed on the statement. If not, a row is missing or has the wrong sign.
