How to reconcile a bank statement in Excel
Reconciling means proving that your own records and the bank statement agree. Excel makes this quick once the statement is a clean table.
1. Get both lists side by side
Put the converted statement on one sheet and your own records (invoices, receipts or bookkeeping export) on another. Each needs a date, description and signed amount.
2. Match by amount and date
Add a column with =COUNTIFS(Records!C:C,C2,Records!A:A,A2). A result of 1 means a match; 0 means the bank has a transaction your records do not.
| Date | Description | Amount | Matched |
|---|---|---|---|
| 04/10/2026 | City transport | -24.00 | 1 |
| 05/10/2026 | Card refund | 12.50 | 0 |
3. Check the totals
Opening balance plus the sum of all amounts should equal the closing balance printed on the statement. If it does not, a row is missing or has the wrong sign. Investigate every unmatched row before you close the period.
